Main Purpose of Role:

    Provides an efficient service to employees and P&C through the production and processing of all administrative tasks associated with P&C services to agreed service levels whilst supporting P&C policies and procedures. 


Key Tasks and Accountabilities

Core Tasks
Manages internal transfer/promotion process, processing and tracking completed forms, contract generation / modification and.
    Joining formalities : Co-ordinates arrival dates, induction formalities & new starter documentation
    Manages the 555 & Confirmation process. Updates trackers & generates reports for the location.
    Manages the documentation of the leaver process.
    Provides all employee data to payroll and flexible benefit providers, including starters, leavers and any contractual changes which may affect individuals’ account, according to set deadlines. Tracks benefits Administration (PF withdrawal + transfer)
    Provides general advice with regards to payroll and flexible benefit administration in response to ad hoc queries and the induction process.
    Maintains accurate and up-to-date records on the P&C Oracle database e.g. changes to employee personal records. Runs standards reports from the database.
    Maintains the filing systems. P-file management (creation, completion, updating & audit)
    Organises training events including: setting up purchase orders, booking training rooms & Training logistics, liaise with L& D  function for training set up.
    MGS scheme administration, Manage Employee query on Insurance.
    Reporting (P&C dashboards + attrition, 555 & buddy program reports)
    Understands all COLT P&C Policies, procedures and tools in order to ensure a quality service.
    Deals with telephone and email queries both externally and internally in an appropriate manner. Issues Employee Request Letters.
    Seeks out opportunities to improve systems and processes.
    Provides general administrative support as and when required.

Knowledge & Experience

    Typically has atleast 2 years experience of working in an office environment, especially with the P&C function of an organisation in similar P&C operations role(s).
    Experience of working in an environment where priorities change frequently.
    Experience of working with confidential information on a regular basis.
Academic & Professional Qualifications

    Educated to Graduate level
    Could have completed a full time PG (or may be undergoing a correspondence PG) in HR
    Experience of HR Databases e.g. Oracle preferred ( Excellent Excel skills) Moderate MS PPt skills.
    Fluent in English (written and spoken)
Travel Requirements

    Occasional travel between COLT India locations (GGN & BLR) may be required
